Invoicing and Payment

Prior to making any payments to suppliers and contractors, Montana Rail Link requires a Form W9 (or W8 for outside the U.S.A.). This information is verified with the IRS’s TIN Matching program. You must also have registered with our company to become a supplier or contractor.

The following are requirements for all invoices billed to Montana Rail Link:

  • All local purchases over $1,000 must include a MRL purchase order.
  • All purchases other than local purchases require a MRL purchase order.
  • All invoices must include a legible signature and/or the MRL employee number.
  • If ordered via phone, the invoice must include the first and last name of the MRL employee placing the order.
  • Any invoice for vehicle or machine service/repairs must include the vehicle or machine number.

Payments are made according to the terms specified on your invoice (generally Net 30 Days). Payments are issued once a week and will be mailed or submitted on Fridays. We do adjust for the holidays that fall on Fridays.

ePayables Program

We are currently encouraging all suppliers that already accept MasterCard to switch to our ePayables program. We are doing this in order to streamline the process of making payments to our suppliers.

A file is submitted to the bank on a weekly basis, generally Fridays. If you have payment(s) scheduled for that week, your business could be using the ePayables program and receiving payment as soon as that afternoon. You will no longer have to wait for a paper check through the U.S. Postal Service.

If you choose to participate in our ePayables program, MRL will provide you with a credit card account number to keep on file. The card has unique security features, with $0 of available funds until an invoice is approved for payment. Once the invoice is approved, an electronic remittance advice will be sent via e-mail or fax, along with approval to charge the card for that amount.

This will only change your current payment method. You must still submit an invoice. This does not provide you the ability to charge the card at the time of purchase, however it does offer you the opportunity to receive your payment much more quickly.


Montana Rail Link submits a checkrun on a weekly basis, and checks will be mailed on Fridays. Since we issue just once per week, we try to meet as closely as possible the terms specified on your invoice. Discounts are taken if we are within the discount terms from the point of receiving the product.
